1. Information We Collect

Name, email address, phone number, and postal address
Booking details including property, dates, guest numbers, and special requests
Payment details processed via ReslyPay (full card numbers are not stored)
Website usage data such as IP address, browser type, and pages visited
Communications with us by email, phone, sms, or in writing
Sensitive information and identity documents:
As part of online check-in, we require:
A government-issued photo ID (driver's licence or passport)
Valid card details, to verify your identity and secure any bond or damage liability
Where applicable, we may also collect:
Vehicle registration details
Flight details
Card details collected at check-in are tokenised via ReslyPay. Full card numbers are not stored.
This information is collected and stored via Resly, our property management system. We collect sensitive information only where reasonably necessary, with your consent, or where required by law. If you do not provide the required ID or card details at check-in, we may be unable to confirm your booking or grant access to the property.
2. How We Use Your Information
We use your personal information to:
Manage and confirm bookings
Process online check-in, including identity verification and card authorisation
Communicate with you before, during, and after your stay
Process payments and refunds
Respond to enquiries or complaints
Meet our obligations as a licensed real estate agent
Improve our website and guest experience
Send marketing communications where you have consented -- you can unsubscribe at any time via the link in any marketing email or by contacting enquiries@accommodated.com.au
3. Disclosure of Your Information
We do not sell your personal information. We may share it with:
Property owners and caretakers, to manage and fulfil your booking
Cleaning contractors, maintenance providers, and other service providers
ReslyPay (payment processing) and Resly (property management)
Airbnb, Booking.com and their affiliates, Vrbo, Stayz, and their affiliates, where your booking originates from that platform
Legal or government authorities where required by law
Bookings made via third-party platforms are also subject to those platforms' own privacy policies. We encourage you to review them directly.
4. Overseas Data Storage
Some providers we use store or process data outside Australia:
Resly / ReslyPay -- Australia and United States
Airbnb -- United States and/or European Union
Booking.com and affiliates -- Netherlands and/or European Union
Vrbo, Stayz, and affiliates -- United States
This means your personal information -- including, in some cases, sensitive information stored in Resly -- may be stored on or processed via servers in the United States. We take reasonable steps to ensure these providers handle your information consistently with the Australian Privacy Principles (APP 8).
5. Automated Decision-Making and AI
We may use AI-assisted tools for administrative and communication tasks. We do not make automated decisions that affect individuals without human review. If this changes, this policy will be updated.
6. Data Security
Payment data is processed via ReslyPay; card numbers are tokenised and not stored in full
Identity documents are stored securely in Resly with restricted staff access, and deleted when no longer required
Access to personal information is limited to authorised personnel only
We use secure, access-controlled systems for all business operations
No data system is completely secure. If you believe your interaction with us is no longer secure, please contact us immediately.
7. Data Breach Notification
Under the Notifiable Data Breaches (NDB) scheme (Privacy Act 1988, Part IIIC), if a breach is likely to result in serious harm, we will:
Take prompt steps to contain the breach
Notify affected individuals as soon as practicable
Notify the Office of the Australian Information Commissioner (OAIC)

We keep personal information only as long as necessary for the purposes it was collected, or as required by law. Identity documents are deleted once no longer required.

When we collect your personal information -- for example via an enquiry form or online check-in -- we will notify you of the purpose, who we may share it with, and whether overseas disclosure may occur.
Your consent to the collection of sensitive information is captured when you agree to our Terms and Conditions during online check-in. Our Terms and Conditions reference this Privacy Policy, and a direct link to this policy is included on the check-in form.
